Firefly Systems LLC (“Firefly Systems,” “we,” “our,” or “us”) operates Instatrucks, a logistics platform available on the Web and through mobile applications that connects shippers, dispatchers, and drivers to coordinate freight pickups, deliveries, and related transportation services. This policy explains how we collect, use, share, and protect personal information when you visit our website, use the Instatrucks mobile app or driver app, create an account, or otherwise interact with us—including through in-app messaging, push notifications, and SMS/text messaging. Using our website or services, creating a driver or shipper account, or opting in to our communications means you agree to this policy.
Information We Collect
• Account and contact details: name, email, phone number, company name, and role (driver, dispatcher, or shipper) submitted when you register or apply to drive.
• Driver eligibility information: driver’s license number and class, commercial driving credentials (e.g., CDL), date of birth, driving history, background check results, and vehicle registration and insurance information.
• Vehicle and load information: vehicle type, capacity, maintenance status, and details about assigned shipments, pickups, and deliveries.
• Location data: real-time and historical GPS location collected from the mobile driver app while a delivery or shift is active, and route/trip history.
• Payment, billing, and payout information, including bank or payment processor details used to pay drivers or invoice shippers.
How We Use Your Information
We use your information to operate and improve the Instatrucks platform, verify driver eligibility and vehicle compliance, match drivers with available loads, provide real-time tracking and route optimization, process payments and driver payouts, respond to inquiries and job applications, send transactional and marketing communications where permitted, analyse platform performance and safety, comply with legal and regulatory obligations, and protect the security of our Website and services.
Sharing of Information
We do not sell, rent, or trade your personal information. We share it only with service providers who support our Website, apps, and operations; shippers and dispatchers to the extent needed to coordinate and track an assigned delivery; partners with your consent; parties required by law or legal process; and successors in a merger, acquisition, or asset sale. Mobile Opt-In, SMS Consent, and phone numbers collected for SMS communication purposes will not be shared with any third party or affiliates for marketing purposes.
Data Retention
We keep personal information only as long as needed for the purposes above or as required by law — generally up to 2 years for inquiry/contact data, up to 1 year for job applications, and up to 3 years for driver eligibility, trip, and location records to support safety, insurance, and regulatory compliance obligations. SMS consent records are kept as needed to demonstrate compliance, then deleted or anonymized.
Data Security
We use HTTPS encryption, access controls, encrypted storage of driver eligibility and payment data, and regular security reviews to protect your information. No method of transmission or mobile transmission is 100% secure, so we encourage caution when sharing personal information online or through the app.
International Transfers & Your Rights
As a platform serving drivers, dispatchers, and shippers across multiple regions, we may transfer and process your data outside your country or state of residence, with appropriate safeguards. Depending on your location, you may have rights to access, correct, delete, restrict, or port your data, object to certain processing, and withdraw consent at any time.
